Field Trip Policy
Field Trips, Events, and all other Special Activities Policies
Field Trip Restrictions:
Honor any restrictions and rules (stroller access, ages, dress requirements, etc.).
Please review all the information, considering age appropriateness and other requirements and suggestions, on field trips/special events and ask questions before you sign up.
Please do not bring children outside of the age range indicated. Every effort is made to accommodate babies, toddlers, and strollers; however, some field trips will not be suitable for them.
Please do not bring people who are not signed up for the field trip.
Prepare for the field trip. Do some research on the web so you know what you are getting into. Help your child understand a bit about the background of the activity.
Field Trips, Activities, Events Sign ups and Attendance Policy
It is our desire to provide the group with interesting, informative, fun, and educational field trips. As we venture out, it is also our desire that our families conduct themselves in a manner that will reflect well upon our group, our families, and will represent homeschooling well so the host will invite homeschoolers back. For the purpose of attending BHE sponsored events, field trips, and member-planned events, it is asked that all participants abide by these general guidelines:
Registration is a commitment to attend and you should not reserve a spot “just in case” you can come.
If you sign up for a field trip, Activity or Special Event respect the planner and show up.
Only sign up for a field trip if you are committed to going! Arrangements are made according to planned attendance.
All students participating in field trips/special events must be accompanied by a parent or guardian. You may not drop your child(ren) off.
If an emergency does arise, please notify the coordinator as soon as possible.
Do NOT sign your child(ren) up if they will be unable to attend. Please do NOT use the field trip/special event as a form of punishment for your child(ren).
Field Trip Payments & Refund Policy
Payments:
Payment is due immediately upon signup for an event, field trip, or activity to reserve your spot. If the invoice is not paid within 24 hours, your sign-up (tickets) will be cancelled.
PayPal payments are the accepted form of payment for all sign-ups to instantly secure your spot.
Due to the fact that the majority of field trips need to be paid in advance and/or have minimum group requirements, we do not give refunds.
Refunds:
If for some reason you cannot attend a Field Trip/Special Event that has already been paid for, you will not be reimbursed. If you have “tickets”, please make every effort to make sure someone goes in your place, especially if we have received a group rate for those “tickets.” Empty seats reflect poorly on our group. You may sell your tickets, but if it comes down to it, please consider giving your tickets to someone else. This is YOUR responsibility, NOT the responsibility of the person coordinating that particular field trip/special event.
Full refunds will only be offered on two occasions:
If the field trip or event was cancelled by BHE or the original date was changed by BHE for any reason.
If you cancel your signup prior to signups being closed on the calendar.
No Shows & Cancellations
If you need to cancel your sign-ups for any reason, you are welcome to sell or give your tickets to another BHE family by advertising using our website forum or Facebook group. (Please notify the event organizer of the family change in a timely manner.
No-shows: If you sign-up for a field-trip or event, we expect your attendance and will include your family in the headcount. If you cannot attend for any reason, you must notify the field trip coordinator immediately.
We understand that at times we will need to make decisions based on each individual situation and circumstances. BHE will not allow “failure to show” at reserved-space field trips or events. Suspension of your field trip or event privileges will be invoked if a member has 3 no-shows or last-minute / non-emergency cancellations.
Consequences
1st offense – Warning
2nd offense –Suspension from all field trips for 2 months.
3rd offense – Restriction from all field trips for the remainder of the school year
Re-admittance – Case by case basis-decided by the BHE Board
The BHE Board leaves the final decision and discretion to the member coordinating the event or field trip.
Conduct (T.R.I.P. rules)
T=Together: Stay with your parent and group. Only touch what you have been told you may touch.
R= Respect: Be respectful of your surroundings and of the people around you.
I= Interested: Pay attention to your guide and listen well. Think of thoughtful questions.
P= Polite: Use your best manners and be sure to thank your guide.
